1. What Veritas does

Veritas is an email verification service. You upload a list of email addresses and Veritas verifies each one through a 4-layer pipeline: format and domain checks, SMTP handshake, catch-all detection, and — for catch-all domains — a real email probe. The result is a structured report with a status and confidence score for each address.

Because of the nature of this service, Veritas processes email addresses that belong to third parties — people who are not our customers. This policy explains how we handle that data.

2. Data you submit

When you upload a list to Veritas, you submit email addresses for verification. You represent that you have a lawful basis to process those addresses — for example, that you collected them with consent, through a legitimate business relationship, or through another lawful means.

We process submitted email addresses solely for the purpose of verification. We do not use them for marketing, profiling, or any purpose beyond returning verification results to you.

3. The real email probe

For catch-all domains, Veritas sends a real plain-text probe email to the address being verified. This email is sent from a Veritas probe address and contains no marketing content. Its sole purpose is to detect whether the mailbox exists by observing whether a bounce is returned.

The probe email is not stored beyond the verification window. Bounce signals are processed automatically and the result is recorded as part of your job output.

4. Caching of results

Verification results are cached for 30 days. If the same email address is submitted again within that window, the cached result is returned rather than re-running the verification pipeline. This reduces cost for you and reduces unnecessary probing of mail servers.

Cached results store the email address, verification status, confidence score, and timestamp. After 30 days, cached results are deleted.

5. Job data and downloads

When a verification job completes, Veritas generates three downloadable outputs: a full results CSV, a PDF report, and a verified catch-all addresses file. These files are stored securely and made available for download for 7 days after job completion, after which they are permanently deleted.

Job metadata — including job ID, email count, cost, and timestamps — is retained for billing and audit purposes for 12 months.

6. AI list analysis

Every completed job includes an AI-generated analysis of your list, powered by AWS Bedrock. This analysis processes aggregate statistics and domain patterns from your job — it does not store or train on individual email addresses. The analysis is generated at job completion and included in your PDF report.

7. Your responsibilities

You are responsible for ensuring you have a lawful basis to submit email addresses to Veritas for verification. You must not submit addresses obtained unlawfully or in violation of applicable data protection law, including UK GDPR and the Data Protection Act 2018.

Veritas is a B2B tool intended for use with email lists compiled for legitimate business outreach. It is not intended for use with personal email lists or consumer data obtained without consent.

8. Data retention summary

A summary of how long we retain different categories of data:

• Submitted email addresses (cached results) — 30 days.
• Job download files (CSV, PDF, catch-all verified) — 7 days after job completion.
• Job metadata (ID, count, cost, timestamps) — 12 months.
• Account data — for the lifetime of your account, deleted within 30 days of account closure.

9. Third-party services

Veritas uses the following third-party services to operate:

• Amazon Web Services (AWS) — cloud infrastructure, storage, and AWS Bedrock for AI analysis.
• Stripe — payment processing.
• Email delivery providers — for job completion notifications and probe emails.
